From Spreadsheets to Dashboards: A Practical Guide to Business Intelligence for SMEs

Almost every SME we onboard for a data and BI project has the same starting point: several spreadsheets, updated by different people, on different schedules, that don't agree with each other by the time anyone actually looks at them. The fix isn't buying an expensive enterprise BI tool — it's doing three specific things, in the right order.

Step one: fix the data before you visualize anything

The instinct is to jump straight to a dashboard, but a beautiful chart built on inconsistent data just makes bad numbers look more convincing. Before any dashboard work starts, we audit every data source — spot-checking for duplicate entries, inconsistent naming, and gaps where data simply wasn't recorded.

This step is unglamorous and it's usually where most of the actual project time goes, but skipping it is why so many BI initiatives quietly fail: the dashboard looks great in the demo and gets ignored within a month because someone finds a number that doesn't match reality.

Step two: pick the tool that matches your actual usage pattern

Looker Studio is the right call when your team mostly needs to view dashboards and your data already lives in Google Sheets, Google Ads, or Analytics — it's free, fast to stand up, and familiar to anyone who's used Google Workspace.

Metabase is the better choice when your team needs to ask new questions on the fly, not just view pre-built reports, or when your data lives in a proper database rather than spreadsheets. Its self-serve query builder lets non-technical staff explore data without learning SQL, which matters once more than one person needs answers.

Step three: automate the reporting cadence, don't just build a dashboard

A dashboard nobody automatically receives is a dashboard nobody checks. The last step is wiring up scheduled reports — a weekly email to the operations manager, an automatic alert when a metric crosses a threshold — so the insight reaches the person who needs it without them having to remember to log in.

For one Kenyan logistics client, this three-step process surfaced KES 2.4M a month in avoidable fuel and routing costs that had been sitting, unnoticed, inside their own trip sheets the entire time.
